The Executive Assistant supports The Gospel Coalition’s mission by providing high-level administrative, operational, and strategic support to the Vice President (VP) of Development. This role is essential in managing the VP’s priorities, facilitating donor relations, and ensuring the Development department operates with excellence and efficiency to fund TGC’s initiatives.

Reports to: Vice President of Development 

Status: Part-Time (15 hours/week) / Remote


Qualifications, Experience, and Skills

  • 5+ years of experience in executive administrative support, specifically supporting C-suite or Vice President-level executives.
  • Proven track record in high-level donor relations, non-profit fundraising support, or corporate development environments.
  • Mastery of complex calendar management, gatekeeping, and proactive travel logistics.
  • Exceptional emotional intelligence and professional discretion when handling sensitive donor information.
  • High proficiency in CRM systems (e.g., Salesforce, HubSpot) and project management software (e.g., Asana, Monday.com).
  • Advanced written and verbal communication skills, with the ability to mirror the VP’s voice in correspondence.
  • Full alignment with The Gospel Coalition’s mission, vision, and theological convictions.
  • A servant-hearted attitude and a commitment to excellence in ministry work.


Responsibilities

Executive Support & Strategic Partnership

  • Act as a strategic partner to the VP of Development, anticipating needs and preparing briefings, research, and materials well in advance of meetings.
  • Manage a high-volume executive calendar, making independent decisions on scheduling priorities to protect the VP’s time for high-value donor engagement.
  • Coordinate end-to-end travel logistics for donor visits and conferences, including detailed itineraries and efficient expense reconciliation.
  • Serve as the primary point of contact and "gatekeeper" for the VP, managing internal and external requests with professionalism and hospitality.

Donor Relations & Systems Management

  • Design and maintain a centralized, cloud-based system for tracking donor interactions, ensuring all data is captured and actionable.
  • Establish and oversee workflows for donor file organization, naming conventions, and metadata tagging to ensure seamless retrieval.
  • Lead the cleanup and migration of archival donor data into a scalable system that supports long-term growth.
  • Ensure the security, redundancy, and confidentiality of all sensitive development records and financial data.

Communication & Collaboration

  • Collaborate with the Development and Editorial teams to translate the VP’s vision into professional proposals, impact reports, and donor updates.
  • Identify and execute opportunities to repurpose organizational content into high-impact "short-form" assets for donor newsletters and prayer letters.
  • Manage relationships with external vendors or contractors for development-related events and collateral production.
  • Ensure all donor-facing materials adhere to TGC brand guidelines, messaging standards, and theological accuracy.


Expectations

  • 15 hours / week (consistent availability during core business hours preferred).
  • Attend weekly departmental and staff meetings.
  • Provide total ownership over administrative projects, ensuring they are completed with minimal oversight.
  • Maintain the highest standards of quality, accuracy, and punctuality in all deliverables.
  • Stay current with executive support best practices and emerging tools to maximize the efficiency of the 15-hour work week.
